Cycle Count Process

Selecting a Branch

 

The first time you log into Location Touch, the Select Warehouse screen will display the listing of available branches authorized for Location Touch. Based on the user authorizations in Eclipse, this list may not be the full list authorized for Location Touch but rather a subset of what branches the user is authorized for. The selected branch will appear in the bottom right-hand corner on the main menu.

To change the selected branch, press the branch name in the bottom-right part of the main menu.

Beginning a Cycle Count

On the main menu, a number will display to the right of the cycle count menu option. This indicates the total number of products to be counted.

To begin the cycle count process, select the Cycle Count menu option which will take you to the cycle count screen where the first item for counting will be displayed.

Main Cycle Count Screen

On the main cycle count screen, the first product to be cycle counted will be displayed if doing a directed count (This is the default and is recommended).

This screen displays the following information:

  • Product image (if available)
  • Product description
  • Internal Eclipse product ID
  • Primary UPC
  • Catalog number (CAT#)
  • Product rank
  • Zone (RF enabled branch)
  • Phys file (Non-RF enabled branch)
  • Control number CTRL# (Non-RF enabled branch)
  • Lot Number (products with Control Type of Lot)

There is a Note icon displayed to the right of the product description and allows you to enter or view product notes. These notes are only visible in the Location Touch app.

At the top, right, there is an icon with three horizontal bars, this is the product slide-out menu. For more on this menu, please see our Getting Around documentation.

The Location to be counted will be listed as well as the Unit of Measure (UOM), the location type such as stock, defective, tagged, or review and the location "type" such as primary, secondary, floating, and remnant.

The red left and right arrows on the lower left and lower right side of the screen will scroll through all remaining items to be counted.

When ready, proceed to Step 1: Scan a Product.

Step 1: Scan a Product

To begin the count, scan the product displayed on the screen. If not using a barcode scanner or the barcode will not scan, tap the screen according to your Count Gesture Setting (default is a double-tap), which will act as a scan.

If the scanned product does not match the product displayed on the screen, you will be presented with a prompt, "Scanned Incorrect Product: You scanned x. Current product to count is y". You are given the option of pressing "Cancel", which will allow you to rescan the displayed product or "Continue" which will switch the count to the product you scanned.

Note: if the product scanned or entered is not currently in the count queue it will display a message "No Matching Counts Found.  Add It?". Press yes to add the product to the cycle count or No to cancel counting that product.   

If the correct product has been scanned, you will hear a sound and the location field will be highlighted, proceeding you to Step 2: Scan a Location.

Step 2: Scan a Location

If Require Location Scan is enabled in Settings you will be prompted to scan the barcode for the location this product is in. If you do not have a barcode, or the barcode won't scan, pressing in the location field will display the location keyboard allowing you to enter a location. If they Require Location Scan setting is not enabled, you will be taken directly to the quantity field.

If you scan or enter a location for a product and that location does not exist for that product, a message will display "Product does not currently exist in location x. Do you want to add it?". To count the product for the scanned location press "Yes". To abort counting the product for the scanned location, press "Cancel".

Once the scanned location matches the displayed location, you will be taken directly to the Qty field taking you to Step 3: Enter Quantity.

Note: If you are scanning a product with a Control Type of Lot, you will be prompted to scan the Lot number after scanning the location. Scan, or type in, the lot # requested and then you will be taken to Step 3: Enter Quantity.

Setting a Location

During a cycle count, you may wish to focus your counting to a specific location. If setting Enable Set Location is enabled, a Set Location button will appear at the bottom-left of the screen. To set the location during the cycle count, press on the Set Location button. The icon will turn red and the Location that is now "set" will display above the step indicator. Additionally, the number of remaining counts will update to show the counts within the set location and the Count Queue icon will also turn red. When a location has been set, as you scan items in that set location, you will not have to scan the location as part of the process.

Setting a Location

If you scan a product that is not in the Set Location, a prompt will appear "This product does not exist in set location xx-xx-xx" with the following options:

  1. Add to Set Location xx-xx-xx. This will add the product to the Set Location and allow you to proceed to Step 3: Enter Quantity
  2. Scan to New Location
  3. Change to Location yy-yy-yy
  4. Cancel. This will abort the scan and return to the originally displayed product on Step 1: Scan a Product

If you select options 2 or 3, you will receive another prompt after the count is complete, "Update set location to xx-xx-xx?".

To disable the Set Location, press the Set Location button again.

Step 3: Enter Quantity

Enter the count quantity.

If the quantity entered matches the on-hand quantity, a blue checkmark will display above the Qty field.

If the quantity entered does not match the on-hand quantity, the discrepancy amount will display above the Qty field.

When Blind Counts is enabled in settings and the quantity entered does not match the on-hand quantity, a yellow triangle with an ! will display above the Qty field.

Step 4: Complete

After entering the quantity tap on the Step 4: Complete button. If the quantity entered matches the on-hand quantity, the count will be updated and the next product to be counted will display (in directed mode). If the Count Auto Complete setting is enabled and the quantity entered matches the on-hand quantity, you will NOT have to press Step 4: Complete. It will automatically complete the count and the next product to be counted will display.

If the quantity entered does not match the on-hand quantity, and the value of the discrepancy is less than the amount entered in the RF Cycle Count Dollar Cutoff control file in both RF and Non-RF environments, the inventory adjustment will be made and the count will proceed to the next item in the queue.

If the value of the discrepancy is greater than what is entered in the above control file, you will need to handle the discrepancy. If the setting Skip to Related Counts is enabled, you will be taken directly into the Related Counts screen. Otherwise, you will be presented with the Related Counts flow discussed below.

Completing a Count

Related Counts

We HIGHLY RECOMMEND enabling the Innovo Location Touch Enable New Related Counts in RF control file. This will enable the new Related Counts flow in an RF Cycle Count.

In a Non-RF environment, if you enable the control file Innovo Location Touch Enable Related Counts in Non-RF, you will be using the same flow described below.

A fully authorized user will be presented with the following prompts (for a full understanding of how the different authorization keys affect the related counts and the user's ability to make adjustments in the app, please review the Authorization Keys document):

  • Enter Related Counts (brings you directly into the Related Counts screen)
  • Queue Related Counts (queue's related locations and adds to the count queue file)
  • Skip Related Counts (skips entering related counts and creates the necessary inventory adjustment)
Discrepancies

Count Queue

 At any point you can view the remaining products to be counted in the Count Queue screen. There are three ways to get to this screen:

  1. Tap on the remaining count number in the lower-right
  2. Tap on the clipboard icon at the bottom of the screen
  3. Drag your finger from the bottom of the Step indicator button up

To search for a specific product in the cycle count queue, tap in the search bar at the top of the screen, enter a search term, and press "Search" on the keyboard.

If you want to select a specific product to count, press the desired product in the listing which will highlight that product. Press the "Count" button at the top right of the screen which will take you to the main cycle count screen at Step 1: Scan a Product for the selected product.

Changing the Cycle Count File (Non-RF)

Once in the Count Queue Screen, tap the blue bar at the top showing the PHYS File currently selected, then select the desired PHYS file.

To sort or filter the part numbers in the count queue, press the "Refine" button in the bottom right corner.

Filter Counts

  • Type: Supplemental Counts (Non-RF), Immediate Counts (RF), A, B, C or Greater than C Ranked Items
  • Location: Displays a list of locations to choose from
  • Aisle: Prompts for the Aisle
  • CTRL#: (Non-RF) Prompts for the Starting and Ending Control Numbers

Press the "Apply" button to set the sort and filter options.

Refine Settings

Add Product

To add a product to your count that is not in the cycle count queue, you can search for that product directly in the search bar at the top of the Cycle Count screen. The warning "Scanned Incorrect Product" is presented with options to Cancel or Continue. After selecting to Continue, you will then be presented with the message "Scanned product is not in the Count Queue" with options to Cancel or Add to Count.

Count History

To view all of the products you've counted today in the selected branch, tap on the History icon located at the bottom-right of the screen.

You will see all of the products you've counted today in the selected branch. This information is device specific. To recount an item, simply tap on the desired product and you will be taken back to the main Cycle Count screen. The previously counted quantity will display, unless the setting Hide Previous Count is enabled. The Count History screen will show the item's original count as well as the recount.

Jump To

This feature allows you to move from the current product on the cycle count screen to a different product based on a specific location, aisle, CNTRL# (Non-RF), or Zone (RF). To jump to another area in the warehouse press the “Jump To” button located at the bottom-left. A window will display with the following options:

  • CTRL#: (Non-RF only) Allows you to enter a Control Number to jump to
  • Location: A list of existing locations for products in the cycle count queue will display, also showing the number of products to be counted in each location. Press or enter the desired location.
  • Aisle:  Enter the desired Aisle and press OK. The first product in the Aisle will display for counting
  • Zone: (RF only) A list of existing zones for products in the cycle count queue will display, also showing the number of products to be counted in each zone. Press or enter the desired zone.
