Users

 

The Users page allows you to manage all Innovo App users. An App user is anyone, employee or customer, that has been invited to use one of your Innovo products. On this page, you can view user profiles, add and remove App access, reset passwords, delete users, and export user data.

The Users table lists the User's display name, username, ERP User (WOE Login for contacts), invite date, and role.

Clicking on any of the columns will reorder in descending order of that column data. Click again to go back to ascending order.

To filter the table data, use the search box at the top right corner. You can search by name, email address, or ERP username.

Click the Next > button to go to the next set of data.

Click the green cloud button to export the table data. More information on exporting data can be found here.

To delete an app user, find the user by either browsing through the table or entering a search term and clicking the magnifying glass icon.

Once you have located the user to delete, check to box to the left of their name. Then click either of the red garbage can buttons at the top and bottom of the table.

NOTE: Deleting a user takes away their access to all Innovo Apps. Nothing is changed in Eclipse. If a user is deleted and needs app access in the future, simply invite the employee or contact again from the Invite page.

 

 

Once you click the garbage can button, a confirmation window appears. Click Continue to perform the deletion or cancel to leave their app access in place.

 

User Profiles

Clicking on a user's name in the table will open the user's Profile window.

 

 

The user's profile has four sections.

Profile: Displays the user's name, their role in the portal, company, email address, WOE Login name (web), ERP Account (Entity's Eclipse ID)and date they were initially invited.

    Note: Contacts should always be given WOE login and password in Eclipse prior to inviting them in the Innovo Customer Portal. If they are not in place and a contact is invited, you will not be able to apply our User-Defined screen options at the contact level in Eclipse and their WOE login name will display their entity's Eclipse ID.

Devices: Displays all devices the user has logged into.

Subscriptions: Displays all of your Innovo products, with checkmarks next to those the user can access.

Recent Events: Displays the most recent App activity for the user, along with the App name and date. Click on a column title to order the table based on that data in ascending/descending order.

Buttons at top left of page:

    Click the Arrow button (left) to go back to the Users screen

    Click the Edit button (middle) to edit the User's Profile

    Click the Garbage Can button (right)  to delete the User.

 

 

Clicking on the Edit button brings up the Edit User popup window. The User's name, email address, company, ERP Username (WOE Login for Contacts), and Portal Role are shown.

To change a user's role, select a different role from the dropdown menu and then click the blue Save button at the bottom right.

To reset a user's password, click the blue ? Reset Password text at the bottom left. Note: This will send an email to the user with a link to a webpage where they can set their own password. The password reset email is also Bcc'd to the email address of the Portal Administrator that initiates the reset.

Single Sign On: To force users to login with their Microsoft or Google SSO credentials, click the "Disable login with Innovo Credentials" checkbox. Once a user has successfully logged into the portal with their SSO credentials a Google or Microsoft icon will appear below the setting to note which SSO provider they have successfully linked to their Portal user.

Click on any of the user's devices to open a window that shows the device name, manufacturer, model, operating system, the Innovo app being used on the device, our unique device ID for the device, the last time the user accessed the app on the device and their push notification status.

Note: the last access date and time is based on the last time the user was active in the app,

To delete a device, click the red Delete button. Note: The main reason to delete a device is to free a license for our products that are licensed by device. For products not licensed by device, you do not need to remove old or retired devices.

The Subscriptions area of the user's profile indicates which Innovo Apps they are authorized to use. A checkmark next to the App name indicates they have access to the App. The envelope appears on the right for any apps the user can access.

Click the envelope icon to resend their invite.

Note: This invite will not include a password as this is intended for notifying a user of an additional App they can access, which would use the same login and password they are using for other App access. It does include their username and a link to download the App.

After making any changes you may want to the Subject, Template, and Body of the message, click Invite.

To invite an existing App User to an additional app, open their user profile, then click to check the box for the additional product. In the example above, the user already had OE Touch access. The box next to Stockroom was checked to add that app for them to use. When you add an additional app for a user, the Invite window appears so you can send them notification that they are now authorized for the additional app.

In the Invite window, make any changes to the Subject, Template, and Body of the message, and then click Invite to send the message.

Note: Since the user already has a working password in place for the Innovo Apps, this template does not include a password. It does include their username and a link to download the App. All Innovo Apps user the same portal-based login and password, so the user can simply use their existing login for the additional app.

Note: One exception to the shared login and password across all Innovo apps is for any OE Touch customers that use WOE logins for customers or Eclipse logins for employees. OE Touch is the only Innovo app that can use WOE/Eclipse logins. All of our other apps must use the portal-based login and password to login.

 

Deliver Web Administrator

If you want to give a Deliver Web user access to the Notifications and Settings tabs, you must first make them a Deliver Web Administrator. Click on the gear icon located to the right of the Deliver Web subscription.

Note: you will need to reselect the User in order to see the gear icon if you have just invited them to Deliver Web.

There are three roles available for a Deliver Web user:

  • Employee - default role
  • Editor - gives user access to the Notifications and Settings menu options for just their authorized Eclipse branches
  • Administrator - gives user access to Editor authorization plus the ability to set data at the "All Branches" level

If the user is already logged into the portal, they will need to re-log to pick up their role additions.

Note: This will not make the user an overall Administrator for the entire Customer Portal, it will only make them an Administrator for the Notifications and Settings tabs in the Deliver Web section of the Customer Portal.

To remove an App for a user, click to the box next to the App name to remove the checkmark. A popup will appear asking you to Continue or Cancel. Click Continue to remove the user's access.

 

Uploading a User Photo

You can upload a photo for an employee that will display in the Deliver, StockRoom, and Location Touch apps. This photo will also display in the pre-delivery notification live web tracking link for customers to so that see an image of the driver before delivery.

To upload a photo, locate the user in Manage > Users and then click to select the user.

Click the Edit Profile icon.

You will see a new area in the Edit User window for uploading a Profile Picture. Click on Choose File to upload the users photo.

Select the file with the user photo.

You will see the name of the image next to Choose File. Click Upload to upload the image.

Click Save and you will see the new profile picture displayed in the Profile section of the Users page.

Note: Driver pictures are 90x90 pixels. Anything larger than 90x90 pixels will be scaled down. We recommend uploading an image file that is square to avoid distortion when the photo is scaled down to 90x90 pixels.
