4. Create your Delivery Notification Templates

The Notifications tab (Deliver Web -> Notifications) is where you will create your Email and SMS Templates.

There are four possible Delivery Notifications types:

  • Out for Delivery - The Out for Delivery notification is sent for all enabled stops when the driver breaks a 0.2-mile geofence from the originating branch and the manifest has been started.
  • Next Stop - The Next Stop notification is sent when the previous stop or break has been completed.
  • X Minutes Away - The X Minutes Away notification is sent when the driver is X minutes from the delivery address (may or may not be the next stop). This notification will only be sent once, so if the driver is delayed after the notification is sent it will not be sent again, when the driver is X minutes away.
  • Delivered - The Delivered notification is sent when the driver completes the stop. You can include the packing list in the body of the email and you can attach the ship ticket and/or any photos taken at the stop. These are enabled by setting the following control files in Eclipse: Innovo Deliver Attach Ship Ticket to Email Notification and Innovo Deliver Attach Photos to Delivery Email Notification.
Email

In order for an email notification to be "enabled" for a stop, the following must be true:

  • The email template must be created for the branch of the manifest (if not, it must be created at the All Branches level)
  • The notification type must be enabled at the customer level
  • The notification method of Email must be enabled for that notification type within the customer

Also, when a customer has more than one order on a stop, we will send a single email notification for all orders on that stop.

Email Templates

On the Email Templates page, you can see each of the four Delivery notifications.

Note, there is a branch selection drop-down at the top-right. You can select All Branches to setup templates to apply across all of your branches and/or click the drop-down to set up any given branch with its own template. Creating a template under All Branches will apply to all of your Deliver branches unless there is a template created for an individual branch.

Each of the four notifications listed have the same set of blue icons on the right.

  • The cloud icon is used to import one of our pre-defined templates
  • The copy icon is used to copy a template from another branch into the current branch
  • The trash can icon is used to delete the current template

We suggest you start by selecting one of our pre-defined templates. Once you import a template, you can edit the template to your liking. Please note, the innovo logo will be replaced automatically by the logo you define in Settings. Click the cloud icon to begin the import.

There are two built-in styles you can select from. Use the Style 1 templates if you want stops with more than one order to show the order #'s and po#'s for each order delivered. The Style 2 templates will show the order# and po# if the stop has a single order being delivered, but will not include that information when more than one order is being delivered for the stop. When ready, press the green import button at the bottom-right.

You can now add a subject and edit the email body. For both of these, you can use our built-in tokens. For a quick list of the available tokens, click on the black circle with the white question mark right next to where it says, "Email Templates". All tokens start with the @ symbol followed by a keyword. Keep in mind they are case sensitive. As an example, if you want to include the tracking web link in an out for delivery or next stop template, you would put @trackUrl in the body. So, for example, you could add the text "To track your order, please click here: @trackUrl". Anywhere you include one of our tokens we will fill in the appropriate data automatically.

Make sure to press the green save button at the top right of the page to confirm any changes made.

The following tokens are available for you to use when creating your own notifications:

  • @signedBy  Entered signed by name when the order was signed
  • @signedAt  Address where the order was signed
  • @deliveryTime  Estimated delivery time for pre-delivery notification and actual delivery time for post-delivery notification
  • @order  Order number
  • @poNumber  Customer purchase order number
  • @releaseNumber  Customer release number
  • @trackUrl  URL for the live tracking web page (see Live Tracking Web Page section below for details)
  • @company  Company name from Settings -> Company Information
  • @logo  Logo from Settings -> Company Information (using this token will hard-code your logo size to 175x46 pixels)

All of our standard templates also include an opt-out link and text at the bottom (shown below). The link takes the recipient to a web page where they can adjust their notification settings and opt-out of notifications. More on that in the Customer Notifications and Opt Out section below.

SMS

In order for an SMS notification to be "enabled" for a stop, the following must be true:

  1. You must have a paid account set up with Twilio (see our support article Getting Started with Twilio) or Prokeep (see our support article Getting Started with Prokeep)
  2. The SMS template must be created for the branch of the manifest (if not, it must be created at the All Branches level)
  3. The notification type must be enabled at the customer level
  4. The notification method of SMS must be enabled for that notification type within the customer

Also, when a customer has more than one order on a stop, we will send a separate SMS notification for each order on that stop.

Enter your Twilio information in Deliver Web -> Notifications -> SMS Settings.

You can test your Twilio settings at any time by pressing the "Test" button.

Start by entering a phone number to send your test SMS message to. If successful, you should receive an SMS message, "This is a test message from Innovo". If the test is not successful, an error message indicating such will display. You should check your SID and Token to make sure they are accurate.

We highly recommend doing a test before setting up a customer to receive SMS notifications.

SMS Templates

On the SMS Templates page, you can see each of the four Delivery notifications.

Just like with the email templates, the SMS templates on this page can be filled out per branch or for all branches at once, depending on what you have selected in the branch dropdown selector at the top-right when making changes.

Note, with SMS messages, there is no subject and you are limited to 160 text characters. The same tokens that work for Email Templates also work for SMS Templates. For a quick list of the available tokens, click on the black circle with the white question mark right next to where it says, "SMS Templates". 

Live Tracking Web Page

Live Tracking

You can include a tracking link in the three pre-delivery notifications, Out for Delivery, Next Stop and X Minutes Away, either by using one of the Innovo Templates which includes the Track Package button or by using the token @trackUrl.  Our templates also include an opt-out link and text so customers can view their notification settings and edit them directly. More on the opt-out features in the Live Tracking Web Page section at the end of this article.

By default, the tracking page displays a map with the location of the driver. You can hide the map and/or drivers location on the Settings page.

When the Track Package link is selected, the user will be taken to a page that looks like the one below. This page will display the following:

  • Order Number
  • Map with current location of truck and location of stop (optional - for more information, click here.)
  • Estimated delivery time
  • Stop address
  • Photo of driver (optional - for more information, click here.)
  • Signature image (if delivered, the signature image will appear in place of the driver)
  • Customer Notification settings and Opt Out

Refreshing this screen will update the location of the truck on the route.

Customer Notifications and Opt Out

At the bottom of the Live Tracking Web Page, there is a Notifications section where your customer can update the email address(es) and/or phone number(s) to receive notifications, as well as opt out of any notifications they are currently receiving or that they've opted out of in the past. They can also opt out of a specific delivery method by turning off the slider next to the delivery method, such as Email or SMS.

Once they are done making changes, clicking the green Update button at the top-right will update their notification settings in Deliver Web and take effect for all future deliveries. Updating these fields will update the Communication Preferences hard-coded "To" email and SMS number.

The opt out page from the link and text that is in our Email Templates is similar to the Notifications section of the Live Tracking Web page and allows the customer to make the same types of changes.

  • I see some "tokens" in the Innovo templates that are not listed in this article. Can we use any / all of these in any / all of the notification types? @shippingAddress, @billingAddress, @shippingList, @SUBTOTAL, @TAX, @FREIGHT, @HANDLING, @TOTAL?
