Invite

This article describes the process of inviting an employee or customer/contact to a product.

For OE Touch Only: When you invite an employee or a customer to OE Touch, they can use their Eclipse or WOE credentials to login, rather than their email address and password contained in the Portal invite email. Please see the Using WOE/Eclipse Logins & Inviting Contacts to OE Touch information below.

Using WOE/Eclipse Logins & inviting Contacts to OE Touch

When you invite an employee or a customer to OE Touch, they can use their Eclipse or WOE credentials to login rather than their email address and password contained in the Customer Portal invite email. For Customers, you should use an Eclipse Contact tied to the customer Entity because OE Touch has optional settings that are at the Contact level. When you invite a Contact, please make sure the Eclipse Contact has WOE credentials in place for the contact PRIOR to inviting them in the Innovo Customer Portal. See "Inviting Contacts in the Portal" below for details.

Please keep in mind the "Forgot Your Password?" feature on the OE Touch login page will always reset your Portal credentials--not your Eclipse credentials. If you use WOE logins for your branded OE Touch and you want to have the "Forgot Your Password?" feature trigger an email from Eclipse to the customer with their WOE password instead, let us know as we can configure the app to do this. However, this change must be made when we publish the App, so please let us know if you want this in place and we can make the change with the next update of your branded OE Touch. 

If you intend to use Eclipse/WOE credentials for your employee/customer logins we recommend creating custom invite templates explaining which set of credentials should be used to login to OE Touch, as the standard invite template is setup to use Customer Portal Credentials (email address and temporary password).

Note: If your organization uses the same branded OE Touch app across multiple Eclipse servers you cannot use WOE/Eclipse credentials. Only the credentials from the standard invite email will work.

Inviting Contacts in the Portal

Customers should be invited via Contacts tied to the customers. Before you invite a contact in the Portal, first, make sure WOE credentials for contacts are in place in Eclipse. This can be setup under Contact Maintenance\WOE Parameters. You need to enter both a username and a password. This is recommended regardless of which Innovo App(s) you are using.

Once the WOE Credentials exist in Eclipse, you can invite them in the Innovo Customer Portal. If you try to invite a contact that does not have WOE credentials in place in Eclipse, the invite button will not be active and hovering over the button will pop up a message stating  Unable to invite without WOE login.

You can confirm that WOE credentials are in place in Eclipse from the Customer Portal. On the Manage-->Invite page, with the Contacts tab selected, press the drop-down at the top-left of the contacts table and select Web Order Entry.  

When selected, only contacts with WOE credentials will be displayed. NOTE: You will notice a person icon located to the left of each contact that has WOE credentials. If the contact has already been invited, they will have a start icon instead of the person icon. Mouse-click the star icon to go directly to the user's profile page where you can manage that user's account.

The contacts tab on the Invite screen also has a drop-down allowing you to filter contacts by their Entity's Home Branch. By default, the view will be to display All Home Branches. Press the drop-down to select a specific branch. 

New users must be invited from the Manage-->Invite page before they can begin using an Innovo product. The Users, Customers, and Contacts tabs found here are all from the Eclipse system.

Use the search box at the upper-right side to filter the listing.

In general, employees are invited from the Users tab and both customers and contacts are invited from the Contacts tab.

Inviting an Employee or Customer to an Innovo App

Click on the Users tab to invite an employee or the Contacts tab to invite a customer, then find the person you want to invite (browse listings or use the search in the upper-right corner).

Click on the blue Invite button to the right of their user listing.

Note: If the Invite button is grayed out and not active, this indicates they have already been invited. Click the star icon (see below) to the left of their name to be taken to their user profile page under Manage-->Users where you can then manage their app access, reset their password, etc.

Once you press the blue Invite button, the Invite User(s) pop-up window will appear.

1) Select the product you are inviting the person to use.

2) Edit their email address if needed. User email addresses are pulled from Eclipse User Maintenance. Contact email addresses are the first email address listed in Eclipse Contact Maintenance. NOTE: This email address becomes their login id.

3) Click the blue Cc or Bcc text to show the Cc and/or Bcc fields and then add any additional email addresses you want to receive the invite. If you add more than one Cc or Bcc email address, make sure to put a semi-colon or a comma and then a space between each address, so it looks like this "user1@domain.com; user2@domain.com". Note: This does not also invite those email addresses; it simply sends them a copy of the original invite that is sent to the email address in the Email Field.

4) Disable login with Innovo credentials. Set this if you plan to have your users use Microsoft, Google, or a generic SSO login authentication method.

5) Edit the Subject if needed. By default, the subject will fill in the customer name (if applicable) and the name of the App. If you select an email template that contains the @subject variable, the subject field will display your custom email subject and also be editable.

6) If you have setup a custom email template you can select it here. Otherwise, a general welcome email with the user’s login id and temporary password will be sent to the user. Note: Custom email templates are covered in Creating Custom Email Templates article.

7) Make sure the Send Email option is checked and click the blue Invite button at the bottom right. Note: If you intend to send the user an invite email from outside of the Innovo Customer Portal with their WOE credentials, uncheck the Send Email box.
